Interview Pooling

The new Interview Pool feature allows schools to provide availabilities for multiple interviewers simultaneously to parents during the booking process. This tool not only simplifies the scheduling and booking process but also improves the overall experience for both parents and staff.

The previous interview booking process was reliant on individual interviewers. With Interview Pool, we have the process to be reliant on interview types. This means that EnrolHQ will now show availabilities for multiple interviewers for the same type of interview at the same time.

Interview Types

The implementation of the Interview Pool begins with the creation of interview types under Interview > Settings. This initial step lays the foundation for categorising different types of interviews.

Create Interviewers

Proceed by creating interviewers as per standard procedure. Set Up Interviewers

Create Availabilities

Continue to create availabilities for each interviewer as usual. These availabilities reflect the time slots during which each interviewer is open to conducting sessions. Each availability will require at least one interview type connected to it, but will allow an unlimited selection of interview types.

Booking Process

Click on “add interview” from the interview tab to assign a student to an interview type and present all the related availabilities. If no specific interviewer is chosen, the Interview Pool feature dynamically generates available time slots from all interviewers with open availabilities in the selected interview type.

When assigning an interview to a student, the system will prompt you to select an interview type. If a specific interviewer is not selected for this student, all availabilities within the chosen interview type will be presented and open for bookings.

• By presenting multiple interviewers' availabilities simultaneously, the Interview Pool feature eliminates the tedious process of manually coordinating schedules by transferring booking from a “general interviewer” to the correct interviewer.
• Parents can quickly find suitable time slots without the need for back-and-forth communication.
• The Interview Pool empowers schools to choose their own process. Whether your school prefer to assign parents to a specific interviewer, allows bookings to be open to any available slots across multiple interviewers or by booking parents in manually from the backend.
• By leveraging the collective availability of interviewers, schools can optimise their resources and maximise the efficiency of their staff.
