How to add Pre-School/ELC Specific Questions

Sometimes you may want to ask questions specifically if the applicant is entering the schools Pre-School or ELC programs for example what days of the week they would like to attend. You might also want to ask questions to Kindergarten/Prep (1st year of Primary school) entry like what pre-school they attended, contact name and contact number

In EnrolHQ form fields you have the ability to add a 'Preschool Questionnaire' which contains those extra questions you want to ask ONLY those applicants who are applying for 'Pre-Primary' or '1st year of Primary'. To add the questions go to Settings > Form Fields. Click on the 'Preschool Questionnaire' and add your questions by clicking 'Add Field'

For each field you have to give it a name and choose an input field type.

  • An "INPUT" is a single line box.
  • A "TEXTAREA" is a multiline box. 
  • "TEXTAREA_YES_NO" is a multi-line box that shows only if [ Yes ] has been checked first.
  • SELECT is a dropdown field where you have to enter the options
  • CHECKBOX is multiple choice where the user can choose multiple answers. You will have to enter the options
  • RADIO is a multiple-choice where the user can only choose one answer. You will have to enter the answers.

Don't forget to Save the field when you're done. Usually, you will select it to be 'On' for the Enrolment Form. For Preschool questions, we try to make them not mandatory unless you really need the information from parents. (The more mandatory fields you have the more places parents get stuck so it's best to keep the mandatory information down to a minimum).

Now once you've created all your questions you have to enable the questions to appear when Parents select the correct 'Year Level of Entry'. To do this go to Settings > School Details and scroll down to the bottom where you find the 'Fields Options'. At the very bottom of the box there is a 'Show Kindergarten Questionnaire For' section (the actual name depends on how you've named your early years - scroll to the bottom to see more info).

Going across from left to right the checkboxes refer to the following ages (at entry):

1 - Not Yet at School means (0-2 year olds)

2 - Preschool (2nd box from left) refers to 3 year olds

3 - Kindergarten (3rd box from left) refers to 4 year olds in TAS, QLD, VIC terminology. 

4 - Prep (4th box from the left) refers to 5 year olds - it's their 1st year of Primary school which is 'Prep' in TAS, QLD, VIC

By ticking the middle boxes in the options below, if the applicant is entering as a 3 year old or a 4 year old they will be asked the questions we set above.

Once you've ticked the correct boxes, scroll to the bottom of the Settings Page and hit Save.

Two more things:

1) Make sure you've got the correct 'Year Levels of Entry' enabled in your Grade/Year settings. The schools Year of Entry Range has to include the early learning years *and* they should be made available for enrolment in 2021,2022 etc down below.

2) If you want to rename your Early Learning Years this is found in Settings > Form Fields > Profile > Grade of Entry

On the right, you will be able to relabel the 0-2 year olds, 3 year olds, 4 year olds and 5 year olds 'Year Levels'
