Set up the email template

Go to Email Settings > Templates > Custom > Add and create a Primary Parent custom template to follow up if they have started but not completed an application. It is recommended that the name of the Template is named ‘Incomplete application - 7 days’ where parent means that the Template is Parent related.

A quick hello from us at {{ school.settings.name }}! We just wanted to touch base with you as we noticed that you started an application with us but are yet to complete it. We are really excited at the prospect of receiving an application for {{ profile.first_name }} and just wanted to let you know that we are here to help!

You can continue your application at any time, by logging into your parent dashboard using email {{ user_parent.email }}.

If you are holding off on submitting the application due to questions you have about {{ school.settings.name }}, please let us know, and we will answer them for you. If you are experiencing technical difficulties, feel free to get in touch by giving us a call and we will walk you through the process. Go to Automation > Add

Automation criteria Sept 2025

1 NAME - Automated name like ‘Application Incomplete’ this makes it easier to identify and is internal.

2 Email Template - Select your template from the ‘Custom Template’ dropdown so the email goes to Primary and/or Secondary Carer

3 Carer SMS template - Select your template from the ‘SMS Template’ dropdown so the SMS goes to a parent if applicable

4 Change Application Status to - Select the Enrolment Journey stage this Automation will move the student profile to (e.g. if Pre-interview form is received - change status to Interview)

5 Add to Student Profile Category - you can add settings to the Student Profile Category via the Automation process

6 Trigger Event - select ‘Application Started’

7 Cancel Event - select 'Application Submitted/Paid'

8 Delay - Set for 168 hours (7 days). This means the email will be sent to the parent 7 days after the application has started but not submitted.

9 Save

Choose Automation Recipients allows you to select specific groups based on the options shown (Optional)

1 Application in Status

2 Years Of Entry

3 Calendar Years of Entry

4 Student Profile Categories

5 Attendance Types

6 Campuses

7 Exclude Application in status

Click Save

The automation timing only works when the trigger has not passed.

If you have had an Application Started but not completed/paid but the automation was not in place then it will not send the reminder and will have to be completed manually.

Note: an incomplete application reminder should always have a cancellation trigger that ensures the reminder is not sent if the application has been completed/paid
