Creating Duplicate Profiles for Second Parents in Cases of Court Orders with Non-Communicating Parents

In certain cases involving court orders where parents are not communicating effectively, schools may encounter challenges when it comes to obtaining necessary information and signatures from both parents. To address this issue, school staff may need to create duplicate student profiles, each associated with one parent.

By providing separate parent dashboards, the school enables the parents to complete individual form submissions, conduct two interviews, allow for independent document signing while effectively communicating with both parents.

Creating Duplicate Profiles:

  1. Identifying the need: When school staff encounter situations where parents have a court order prohibiting or limiting communication between themselves, it becomes crucial to establish separate profiles for each parent. This allows each parent to independently access and provide necessary information to the school.
  2. Parent dashboards: Once the need for duplicate profiles is identified, school staff should ensure that each parent has their own separate parent dashboard. This dashboard will serve as a secure platform for parents to access relevant school information, communicate with school, and complete any required forms. This is completed by manually adding the new Parent into the system and adding the relevant student details - or simply getting both parents to complete an application form. If you know ahead of time, you may wish to get each parent to pay 50% of the application fee as part of the application process. You can edit the fee for each parent.
  3. Signature process: By having duplicate profiles, you enable each parent to sign documents electronically using their respective parent dashboards. This ensures that both parents have the opportunity to review and endorse relevant school-related documents, such as consent forms, academic plans, or participation agreements without having any contact with the other parent.

Removing the Second Parent:

  1. Verify court order: Before proceeding with the removal of the second parent for each duplicate, school staff must ensure they have a valid court order that specifically authorises or requires the removal of the second parent.
  2. Update records: Once the court order is verified and the duplicate profiles have been created, school staff should proceed with removing the second parent's information from both student duplicates.

Optional Retention of Both Parent Profiles

In certain cases, schools may choose to retain both parent profiles, even in situations where court orders restrict communication between parents. This option allows the school to gather additional information about the child's step-parent or any other significant individuals involved in their care.

By maintaining both parent profiles, the school can ensure a comprehensive understanding of the child's family dynamics, which may be valuable for providing appropriate support and maintaining open lines of communication.
